"Prior to SchooLinks, it was very individualized by school and the processes across the schools looked very different and some were robust and some were just barely meeting needs, but it was very sporadic as far as meeting the needs of the state," she explained.

Using SchooLinks for ECAP

Amanda proceeded to share the benefits of utilizing SchooLinks for ECAP, emphasizing the platform's ability to strike a balance between district-wide standardization and school-level customization. "The one thing that we really appreciated with SchooLinks is it set or it allowed us to set a district-wide scope and sequence that said here are the minimum targets that we need to meet that meets the state requirement for the ECAP," she noted, highlighting the platform's role in establishing essential benchmarks aligned with state mandates.

In addition to meeting state requirements, SchooLinks offered flexibility for schools to tailor their approaches to ECAP implementation. "In addition to that, it also allows our schools to also maintain their uniqueness and how they support their students," Amanda explained. "So some of our schools go really in depth because they have the ability to and some of the schools use it in a different method in a variety of ways and so it allows for that customization in addition to meeting the minimum."

Amanda also noted SchooLinks' role in providing clarity regarding the outcome tracking of the ECAP process. "SchooLinks really helped us to understand what the end product looks like," she remarked. Each student's portfolio within SchooLinks served as the culmination of their activities, effectively representing their ECAP plan. Amanda detailed the streamlined process of uploading these portfolios to the state system to ensure compliance with ECAP requirements. "As the person that uploads it to the state system, I just go in and select a student. I download their personalized plan portfolio and then I black out all of their personal identification information," she explained. "And then I also download our scope and sequence, and then I upload that to the state system, and that satisfies our compliance with ECAP."

"I have counselors at sites that send out information on college rep visits or information on when the military recruiters are in or information on college nights that are here within the Tucson area," she explained. This proactive approach aimed to raise awareness among students and their families about the plethora of opportunities available to them beyond high school.

Within the SchooLinks system itself, Amanda noted the ability to upload school-specific documents tailored to support the unique needs of each school, further enriching the resource pool available to students. Additionally, the platform leveraged assessments to guide students towards suitable pathways and scholarships. The scholarship matching feature emerged as a significant asset for counselors, allowing them to identify students eligible for specific scholarships and provide targeted support. "The scholarship matching has really been one of the big ticket items that our counselors have gravitated towards this year," Amanda noted. By leveraging SchooLinks' capabilities, counselors could streamline the scholarship application process and ensure that eligible students received timely support and guidance.

Moreover, SchooLinks facilitated direct communication from college representatives, enabling students to access valuable information about college opportunities and resources. "Our reps can also post information to SchooLinks that students can specifically see and so it really just brings the awareness to the whole school which has been really awesome," Amanda emphasized.

"I think our staff really appreciate that from a district level, I can put in district things so that way they don't have to," Amanda remarked. At the site level, SchooLinks empowered staff to input site-specific events and initiatives, further streamlining processes and ensuring that relevant information was readily accessible to students and their families. "And then from a site level, they can input different site specific events that help to streamline processes, whether it's registration, whether it's college rep visits, military rep visits, college event nights, elective fairs, everything like that is just kind of housed in one area," Amanda explained.

This consolidation of information within SchooLinks not only simplified access for staff but also improved accessibility for students and their families, ensuring that they were well-informed about various events and opportunities. "That just makes it easily accessible by all of our students and their families," Amanda emphasized.

Advice for other Districts & Future Goals

"One of the pieces of advice I would give is to bring a team together of counselors and administrators from across all of your high school sites that will be using it and come up with what is it that you want the system to be able to do for you," she advised. By involving stakeholders from various levels, the district could ensure that their chosen solution met their specific needs rather than being swayed solely by aesthetics. "That's something that we did and it really helped us narrow down which of the products that are out there would meet our needs versus which just looks shiny and pretty," Amanda explained.

Furthermore, Amanda highlighted the importance of ongoing communication and collaboration with SchooLinks to maximize the platform's potential. "We haven't been afraid to ask that of SchooLinks. And literally every single time we say, can it do this? They say, yes. Looking towards the future, Amanda shared the Vail School District's plans to expand SchooLinks implementation to the middle school level to enhance career exploration opportunities for students. "We actually just implemented SchooLinks in our middle school level as well to help with that career exploration," she revealed. By introducing students to career exploration early on, the district aimed to provide a solid foundation that would seamlessly transition into the ECAP process in high school. "We're hoping to grow that over the next year to two years to really have a solid foundation for career exploration at the middle school," Amanda explained.
